Need to add a second email address to a Microsoft 365 user? You can create an email alias in the Microsoft 365 admin centre in a couple of minutes. This guide shows the exact clicks and covers the two questions that always come next: will mail land in the same inbox, and can the user send from the alias?
What is an Email Alias?
Before we delve into the how, let's first define what an email alias is. Simply put, an email alias is an additional email address that is associated with your primary Microsoft 365 email account. Email aliases are perfect for receiving email sent to different addresses and having them arrive in the same inbox.
Before you start
-
You’ll need admin access in the tenant (User Admin or Global Admin).
-
An alias delivers to the same mailbox - it’s not a separate inbox.
-
If you need users to send from the alias, you may need extra configuration (permissions / Outlook settings).
Step-by-Step Guide to Add an Email Alias in Microsoft 365
Step 1: Log into the Microsoft 365 Admin Center. Begin by logging into the Microsoft 365 Admin Center. This is where you can manage all of the accounts within your organisation.
Step 2: Navigate to the Active Users section. Once you're logged in, go to the 'Users' option and then 'Active users'. Here, you will see a list of all the active user accounts within your organization.
Step 3: Select the relevant user. Find and select the user to whom you wish to add an alias.
Step 4: Add the email alias. Under 'Email alias', click on 'Add' and type in the new email alias that you want to create for the user. Remember, this alias will share the domain name with the primary email address.
Step 5: Save your changes. After you've typed in the alias, click on 'Save changes' to complete the process.
And there you have it. You've now successfully added an alias to a Microsoft 365 email. Remember, all emails sent to this alias will end up in the primary user's inbox.
